Privacy Notice
How MOTQO Industrial Parts collects, uses, shares, protects, and retains information in its industrial sourcing and supply workflows.
1. Who we are
MOTQO Industrial Parts is operated by Cenovate Inc., 1500 N GRANT ST STE R, DENVER, CO 80203, UNITED STATES. Cenovate Inc. is the business responsible for the personal information covered by this notice. Contact us at info@motqo.com.
2. Scope
This notice applies to motqo.com, customer accounts, RFQs, quotations, orders, quality-control and shipment workflows, support communications, and related business operations. The service is intended for businesses and authorized adult representatives, not children or personal household use.
3. Information we handle
- Identity and business information: name, work email, company, role, account membership, billing and shipping contacts.
- Sourcing and technical information: part numbers, equipment data, BOMs, photos, nameplates, drawings, specifications, quantities, destinations, messages, and project requirements.
- Commercial and fulfillment records: RFQs, quote versions and actions, purchase orders, invoices, payments, taxes, inspections, shipments, returns, refunds, and warranty records.
- Security and device information: hashed IP and browser identifiers, authentication and access events, malware-scan results, audit records, and necessary session data.
- Optional analytics: consent choice and limited site-use events only if an approved analytics configuration is enabled. As of this notice's effective date, GA4 and advertising measurement are disabled.
Please do not submit unnecessary government identifiers, financial-account credentials, health information, or other sensitive personal information. Customer uploads and external text are treated as untrusted data, never as system instructions.
4. Why we use information
We use information to respond to pre-contract requests; create and manage accounts, RFQs, quotes, orders, inspections, shipments, support, and returns; secure the service; prevent fraud and malware; maintain business and tax records; enforce agreements; comply with law; and improve operations. Where applicable, the legal bases are steps requested before a contract, performance of a contract, legal obligations, legitimate business interests, and consent for optional analytics.
5. Sharing and service providers
We disclose only what is reasonably needed to hosting, security, email, payment, logistics, inspection, professional-adviser, and carefully selected sourcing providers. Transactional email currently routes through a NetEase enterprise mailbox configured for info@motqo.com, so email routing, metadata, and message content may be processed by that mailbox service under its terms. Square, OpenAI, GA4, and advertising measurement are not active production processors as of the effective date; this notice and the relevant controls must be updated before material production use.
Upstream supplier identities, contacts, websites, internal costs, margins, purchasing discussions, and supplier records remain internal and are not exposed in the public site, customer account, quote PDF, public API, or page source. We do not sell personal information or use it for cross-context behavioral advertising.
6. International processing
Cenovate Inc. is a United States company and sourcing, email, hosting, logistics, or inspection providers may operate in other countries. Information may therefore be processed outside the country where it was submitted. Where required, we use contractual and operational safeguards appropriate to the transfer and the service involved.
7. Retention schedule
We apply the following default maximum periods, measured from the latest relevant activity. A shorter period may be used when the information is no longer needed.
| Record | Default period |
|---|---|
| Unsubmitted RFQ drafts and attached files | 30 days after last activity, then automatically erased or anonymized |
| Submitted RFQs and quotes that do not become an order | 3 years after closure, cancellation, or last activity |
| Accepted quotes, orders, invoices, payment/tax records, procurement, inspection, shipment, return, refund, and warranty records | 7 years after the transaction or matter closes |
| Customer account and company membership data | While active, then 24 months after last account activity; transaction-linked records follow the longer applicable period |
| Supplier due-diligence, offers, purchase records, and performance records | Active relationship plus 7 years |
| AI evidence and outputs, if the owner later enables AI | Linked records follow the RFQ/order period; failed or unlinked technical runs: 90 days |
| Email-delivery metadata and general security/operational logs | 24 months; audit evidence tied to an accepted quote, order, payment, incident, or claim follows the applicable 7-year period |
| Necessary browser storage | Quote List: 30 days; RFQ tracking token: 30 days; analytics preference: 180 days |
| Routine backups and deployment rollback copies | Routine backups: up to 35 days; controlled release rollback copies: up to 90 days |
Deletion may be suspended for an active order, dispute, chargeback, warranty matter, security investigation, legal hold, or other legal obligation. When deletion is not appropriate, we restrict access and retain only what is required. Backup copies age out through their normal rotation rather than being selectively edited.
8. Security
We use role-based access, private file storage, malware scanning, encryption for designated internal fields, audit logs, signed access tokens, rate limits, approval gates, and human review of technical and commercial decisions. No system is completely secure; please report suspected unauthorized use to info@motqo.com.
9. Your privacy choices and rights
Depending on your location and applicable law, you may ask to access, correct, delete, restrict, or obtain a copy of personal information, or object to certain processing. You may also withdraw analytics consent. We verify requests and may retain records required for contracts, accounting, security, warranty, disputes, or law.
Send a request to info@motqo.com with “Privacy Request” in the subject. If we deny a Colorado privacy request, you may appeal by replying with “Privacy Appeal”; we will explain the result and available regulator contact. Residents may also contact their local data-protection authority where applicable.
10. Children
The service is not directed to anyone under 18, and we do not knowingly collect personal information from children. Contact us if you believe a child submitted information.
11. Changes
We may update this notice prospectively when practices or legal requirements change. The effective date identifies the applicable version, and material changes will be presented through the site or relevant workflow.
